SIGPLAN In-cooperation Proposal

Are you organizing a conference or workshop and interested in being in-cooperation with SIGPLAN?

As part of its activities, ACM SIGPLAN has two types of relationships with conferences and workshops: sponsorship and in-cooperation. A description of in-cooperation is described below including SIGPLAN's responsibilities, the meeting's responsibilities and directions for applying for in-cooperation status.

In-cooperation Status

SIGPLAN supports in-cooperation relationships with conferences and workshops. The requirements for SIGPLAN in-cooperation status include the following:

  • Meeting must have an open call for participation and a clearly documented evaluation and review process.
  • The meeting cannot be sponsored by a for-profit organization; however some forms of corporate funding are allowed.
  • SIGPLAN also expects registration costs to be reasonable and its members to get a lower registration rate.

Under in-cooperation, SIGPLAN is not financially responsible for the meeting.

In-cooperation conferences and workshops are encouraged to follow SIGPLAN policies and procedures, including the following:

In-cooperation provides a number of benefits:

  • You can use the ACM SIGPLAN name on any publicity about the meeting.
  • You will have one page of SIGPLAN Notices to announce the conference/workshop free of charge. At least a six week lead time is needed for the ad to appear in a non-conference issue. A calendar of upcoming Sigplan Notices issues can be found on a web page: http://www.cs.appstate.edu/sigplan/sigcal.htm
  • Announcements about the meeting can be disseminated via SIGPLAN's mailing list. (Contact infodir_sigplan@acm.org)
  • All in-cooperation meetings get entries in the Call for papers and Professional Calendar sections of CACM free of charge.
  • All in-cooperation meetings get entries in the Call for papers and Professional Calendar sections of CACM free of charge.
  • Conferences that are in in-cooperation with ACM SIGPLAN can also buy an ad in CACM at a special rate. All placement of such ads should be arranged through ACM Headquarters. Please check CACM as to the lead time required. Discounts on ACM mailing lists are also available.
  • SIGPLAN Notices will reserve space for the final report summarizing the meeting.
SIGPLAN encourages the conference organizers to contact Ashley Cozzi at ACM Headquarters (acozzi@hq.acm.org), to have SIGPLAN membership materials sent directly to the conference location to be displayed during the meeting.

To apply for in-cooperation status please send a description of the meeting to the SIGPLAN chair and vice chair, preferably at least 12 months before the conference/workshop. The description should include the:
  1. Focus of the meeting and intended audience.
  2. Time frame and place.
  3. Sponsoring organization (an entity that is taking fiscal and legal responsibility for the conference).
  4. Plans for publicity and details of the publication process.
  5. Proposed organization.
  6. Plans for the call for participation for the meeting.
  7. Submission review process including size and expected composition of the program committee.
  8. Name and email addresses of the organizers.
  9. Relevant information, such as attendance, site, budget, and registration fees, if the meeting has been held before.
  10. URL to the meeting information page.

The request will be circulated to all members of the SIGPLAN Executive Committee. A response to the request is usually given in 2 weeks. If the Executive Committee approves the request, you must then apply for ACM approval. Your event will not receive SIGPLAN in-cooperation status or be included on the ACM calendar until this step is completed with ACM. To do so, contact Ashley Cozzzi at ACM (acozzi@hq.acm.org) with the following information:

  1. The name of the conference/workshop.
  2. The dates and place of the conference.
  3. Your surface mail and e-mail address, phone and fax numbers.
  4. Attendance figures for the previous meeting (if applicable).
  5. The Technical Meeting Request Form (TRMF).
  6. Certificate of insurance or a letter of financial responsibility from the event's sponsoring organization.

Additional information on items 5 and 6 can be obtained here or directly from Ashley Cozzi at ACM (acozzi@hq.acm.org). ACM will inform you of their official approval decision within 1 to 2 weeks of receiving this information.
